This Privacy Policy relates to the activities of Roseman Labs B.V. (hereinafter referred to as "Roseman Labs", "we", "us", or "our"). This Privacy Policy explains what Personal Data we collect when you use our services, how and why we collect it, and how you can update, manage, and delete your information.

Under GDPR, we may process Personal Data as a Controller or a Processor. This Privacy Policy applies to Personal Data we collect and Process for our own purposes where we act as a Controller.

 

When we Process Personal Data on behalf of our clients to deliver our services, we are acting as their Processor under the General Data Protection Regulation (GDPR). In this context we have limited rights and responsibilities regarding your Personal Data under the GDPR. The terms "Personal Data", "Processing", "Controller”, and "Processor" have the same meaning as in the GDPR.

To use some of our services we need the appropriate Personal Identification Data, this includes data such as your name, email address, and phone number. We store and Process this data when you:

 

• Are in contact with our Business Development team
• Are in contact with our Customer Success team
• Fill out the contact form on our website
• Request product information or a publication through our website or social media channels
• Respond to a recruiting or marketing campaign (either through our website or via a third party)
• Register for a meeting or event through our website or via a third party
• Send us an email
• Join our online Slack community
• File a support request through our ticketing system

• Use the web-portal of our product

Roseman Labs may receive your data indirectly when you are a client of a Roseman Labs customer and this customer, as Controller, uses our SaaS service and has involved us as Processor. In this case we have a Data Processing Agreement with this customer.

Roseman Labs uses the information we collect for the purposes of providing and improving our services, and to communicate with you. Your Personal Data is used when we:

 

• Respond to you message or inquiry submitted through the contact form
• Respond to your request for product information
• Respond to your request to plan a meeting with one of our staff
• Respond to your application to one of our open recruiting positions
• Invite you for an event for which you have registered yourself
• Answer your support request sent to our Customer Success team
• Answer your support request entered via our ticketing system
• Authenticate your in the web-portal of our product

 

Roseman Labs will not share your data with any partner companies other than for the internal use explained above.

Depending on how your data is collected and used, Roseman Labs stores your data:

 

• In the Saas software of our CRM provider Hubspot, which is also the provider of our ticketing system
• In the SaaS software of our Community chat service provider Slack
• In the back-end of the web-portal of our product
• In our office IT environment. Our IT environment is monitored by a security provider, which may also process logs that include personal data
• in our HR-service providers for recruiting purposes

Roseman Labs keeps different types of data for different periods of time:

 

• We keep the account information associated with the web-portal of our product for the duration of your account
• All other Personal Data is stored for a limited period of time, namely three years. Once this time period has expired, we will either delete or anonymise your information or, if this is not possible, then we will securely store your information and isolate it from any further use until deletion is possible
